Rent Payments can be received in a multitude of ways including being entered manually or through our Payment Portal. With the PropertyBoss Payment Portal, property managers can accept electronic payments online. All payments received through the Payment Portal are automatically received and prepared for receipt within PropertyBoss. When linked with the Owner Portal or the Resident Portal, payments are automatically assigned to the appropriate individual for reduced processing times and greater financial accuracy.

Our Prospect Tracking module provides extensive capabilities for managing unlimited prospects and the activities associated with tracking a prospect from initial contact through signing a lease. This module is sold separately, and you must enter a registration number in the setup process. At the point a prospect becomes a tenant, the detailed prospect information you have entered, including the transaction register, is transferred to the Tenant and Lease Notebooks and Lease register.

Task Processes can be defined and assigned by creating a checklist which can help to keep your processes consistent no matter who the employee may be. This also allows new employees to hit the ground running. A checklist is a group of related work orders necessary to accomplish a specific goal. For instance, you may have a standard checklist or checklist you follow when a tenant moves into your property. This checklist may consist of the following activities:

  • On Day 1, completion of the lease forms
  • On Day 1, collection of initial rent and deposits
  • On Day 2, validation of employment and credit check should be completed
  • On Day 3, confirmation notice or call to the tenant
  • On Day 5, planned occupancy by the tenant
  • On Day 7, property inspection report due back from Tenant
  • On Day 14, follow-up phone-call to see if everything is okay

You can define a ‘Move In’ checklist, listing each task. Once defined, you can assign the checklist at any time. A checklist provides an easy way to assign and track groups of work orders without the time and effort necessary to enter multiple work orders each time the checklist is assigned.

Checklists, like work orders, may be assigned to a specific type of account (lease, owner, etc.) or may be unassigned. After a checklist is defined, you can view all of the work orders that make up the checklist in a tree structure. Each task is listed with its place in the schedule of the checklist, making it easy to view any checklist in a step-by-step format. You can define an unlimited number of checklists for each account.
